Group Manager Dashboard: Navigation

Once a group manager is invited to a sub block, they get their own dashboard, separate from your Resiada admin view. It gives them a self service view of their block: how many rooms are booked, who their guests are, and what they owe, without needing access to Resiada itself. This article walks through what a manager sees there and what they can do. If you have not yet activated the dashboard or invited a manager, start with the Group Manager Dashboard: Configuration article first.

The Overview tab of a manager dashboard: stat tiles, the Room Nights chart, and the Hotels section.

Before you start, have these ready

  • The Sub Block Manager Dashboard feature turned on for the event, and a manager already invited from that sub block. See the Group Manager Dashboard: Configuration article for those steps.
  • The manager’s dashboard link, which they receive by email when invited.
  • If the manager is responsible for more than one sub blocks, know which group or groups they need to see.

STEP 1: Get oriented on the Overview tab

The dashboard opens on Overview. Five tiles across the top give the shape of the block at a glance: Reservations, Available Room Nights, Reserved Room Nights, Total Room Cost, and the Cut-Off Date, the date by which unreserved rooms may be released back to the hotel. Below that, the Room Nights section charts reservations by night, with a Grid toggle that swaps the chart for a plain table of the same numbers. Further down, the Hotels section lists each hotel in the block with its distance to the venue and average nightly rate, and a Hide or Show link that expands into a room type breakdown for the same date range.

STEP 2: Switch groups if you manage more than one

If the rooming list has more than one group under this manager, a Group dropdown sits just under the event address in the maroon banner. Opening it lists the groups by name, in this example Wedding Party and Wedding guests. Choosing a different one swaps the whole dashboard, the header title, the Direct Booking Link, and every tab’s data, over to that group.

STEP 3: Review and edit a guest’s reservation

The Reservations tab lists every guest as a row in the Guests table, with a running count of Completed and Pending reservations above it. Click into a First Name, Last Name, or Check In or Check Out cell to edit it right there in the table; a date cell opens a small calendar to pick a new date. Cancel and Save buttons appear at the top of the table as soon as anything is being edited.

STEP 4: Add guests

Add Guests, above the Guests table, opens a short menu with two ways to add reservations: Single Reservation for one guest at a time, and Import Reservations for bringing in a batch.

STEP 5: Select guests to send an acknowledgement or request a card

Checking one or more rows in the Guests table opens a bar of actions above it. What shows up depends on the status of the rows selected. Reserved guests offer Send Acknowledgement and Cancel Reservations. Pending guests add two more options, Request Credit Card Info and Complete Reservation, since those are the steps that move a pending guest toward a completed one.

GOOD TO KNOW

Each action shows a brief confirmation toast in the top right once it has been sent, so you know it went through without needing to reload the page.

STEP 6: Look up which rooms are booked on a given night

From the Overview tab, switch the Room Nights section to Grid view, then click the number under Reserved Rooms for the night you want. A Reserved Rooms popup opens, listing every reservation booked that night: the primary guest, reservation ID, hotel, room, check in and check out dates, and any other requests on file.

STEP 7: Check financials and hotel policies

The Financials tab breaks costs down by hotel: room cost, tax, any discount applied, fees, the hotel total, balance, and deposits paid, with a Totals row across the whole block. Below that, a Transaction Summary lists payments as they come in, searchable by date, method, or amount.

The Policies tab holds the hotel’s cancellation policy in plain text, so a manager can check the cutoff and any penalty before making a change on a guest’s behalf.

You’re all set

That covers the manager dashboard end to end: reading the Overview tab, switching between groups, editing and adding guests, sending bulk actions, looking up a night’s reservations, and checking financials and policies.
